Challenge
Falken's affiliation platform was difficult to use and, as a result, largely misused. Approval flows were broken, contracts were sent to the wrong people or not at all, manual interventions replaced what should have been automated, and no one had clear visibility into what was assigned to them or what action was required.
Key contributions
I mapped all roles, flows, and edge cases across internal teams and commercial partners. A key contribution was refactoring the permission system by introducing two distinct role types, one for general system permissions and one for approval responsibilities, solving what had seemed an unsolvable problem since that moment. I also redesigned the states and tagging system for immediate affiliation status recognition, streamlined the approval flow, and treated SAP as a single source of truth to eliminate manual data imports.
Outcome
The redesigned platform saved time, simplified processes, and dramatically reduced errors across the entire commercial network. Automated contract signing, role-based visibility and a coherent approval flow replaced a system that had required constant manual intervention.
